Flatfile customers can invite their customers to import files to a shared workspace. To successfully import a file to a shared Workspace, follow the steps below.
To upload a file to a shared Workspace, you will receive an invitation in your inbox from a Workspace Owner
Once you receive the invitation email, click Open Secure Workbook
Once you do, a new tab will open with a pop up message. Check the box to accept Terms of Service, then click Log-In With Magic Link (keep this tab open as you will return to it)
Once you do, Flatfile will send you one more email to verify it is indeed you who is trying to access a shared Workspace. In your inbox, open that new email (Subject: Log in to Flatfile) and click Log in to Flatfile
Once you do, a new tab will open with a message confirming that you are now logged into Flatfile. To continue your work, return to the tab from Step 3
Once you do, you will see the Flatfile dashboard. On the top-left, click Files
Once you do, you will see a list of files (if any have been previously uploaded). On the top-right, click Upload
Once you do, you will be prompted to select a file to import to a shared Workspace
Once you do, you will see your uploaded file appear in the Flatfile dashboard with Status as "Finish matching". Click on the file
Once you do, a pop up will appear requesting you to select a template. Select the right template, and click Import
Once you do, you will be prompted to confirm Flatfile correctly identified a row containing column headers
If Flatfile correctly identified a row containing column headers, on the top-right click Yes
If Flatfile didn't correctly identify a row containing column headers, click on the number on the left of the table that corresponds to the row with column headers. Once you see the correct row highlighted in blue, on the top-right click Yes
Once you do, you will be asked to confirm that Flatfile correctly mapped columns in your uploaded file to desired columns determined by Workspace owner. Once a column has been matched properly, you will see a green check mark appear to the left of such column. Once you confirm that all columns have been mapped and all columns have green checkmarks next to them, on the top-right click Continue
Once you do do, behind the scenes Flatfile will automatically clean as much of your data as possible according to validations set by the Workspace owner. Once that is completed, you will see your data output, which may still require your manual input. To finish cleaning the file click on All rows and then select Invalid rows
Once you do, you will only see rows that require additional cleaning, and cells that require your manual input will be marked in red. Fill the information in empty red cells and / or fix the errors in populated red cells, then click on Invalid rows and select All rows
Once you do that, you will again see your entire data, but this time with all information cleaned. Click Approve All Rows
To make sure that you completed everything, click on All rows and select Invalid rows
If you don't see any rows under Invalid rows, this means that your manual changes have been accepted and you completed the import process. Well done!
