⚠️ Data clips are currently available by request as an early access feature for Projects customers.
What are Data Clips?
Data clips are selections of records that are isolated from the main data set for targeted collaboration and error resolution.
Why use Data Clips?
Limit distractions - by sending a data clip to a customer or team member, you can draw their attention directly to the records that need review and/or resolution. Records you do not need their eyes on will not be shown in the data clip view.
Collaborate with focus - Collaboration features like comments, mentions, and reactions all work within data clips in the same way they do in the full workbook.
Review before merging - While updates made to sheets are instantly available to all collaborators, updates made within data clips do not immediately update the source sheet. A data clip creator will need to review the changes that were made and sign off to merge them into the full data set.
How do I use it?
Once this feature is enabled, select the records you want to clip, then click "Clip Data" from the top bar.
After you select “Clip data,” you’ll choose “Create data clip.” You’ll be prompted to enter a title and a description, and to add collaborators. Anyone added as a collaborator here will be sent an email with the description included.
Collaboration features and AI Transform are all available within the data clip. Transformations do not affect the source sheet until merged by the clip creator.
Only the creator of a data clip can merge changes to the source sheet. Collaborators will see a button to “Submit for review” and the creator will see a button to “Review changes” from within the clip.
The view from the “Review changes” screen:
From the “Clip data” dropdown, you can add new records to an existing data clip and visit the data clip library.
The data clip library shows all clips associated with that sheet (by all creators). You can search within the library, or filter by status (e.g. ready for review).
What should I know before using this feature?
What if data is being edited both within the data clip and in the source sheet?
When a cell has been edited in both the data clip and in the source sheet, the clip creator will see a diff view when reviewing. Any cells that were changed to different values in each place will show in yellow, allowing the creator to resolve conflicts before merging.
What is not currently possible with this early access?
Permissioning - At present, all users with access to a space can see and interact with all data clips
Guest Access - A collaborator must have access to a space in order to see and interact with a data clip.
Priority levels and due dates - Currently, you cannot set the priority of or the due date for a data clip to be reviewed and submitted for review
Clipping data within a clip - Data Clips can only be created from the main sheet. You cannot create a new data clip from within a data clip.
Deleted records do not appear in diff view - If a record was deleted and no other changes were made to it, it will not appear to the clip creator in the diff view.
Deleting records only from a data clip - A record deleted from a data clip will also be deleted from the source seen when merged. It is not currently possible to delete records from a data clip only.
Names are not required to be unique - Data clips are not required to have unique names upon creation or renaming.
Design Differentiation - the UI of a data clip is very similar to that of a sheet, and cannot be themed separately.
